Conditions of Enrolment
Enrolment Process – New Students
Step 1:
- Complete application form with supporting documentation. (Complete the online application form or download and complete an Application Form)
Step 2:
- Meet entry and English language requirements as outlined in the Admissions and Student Selection Policy. Please supply your Academic Transcripts, evidence of English Proficiency and a copy of your passport.
Step 3:
- Submit your application and supporting documents to admissions@phoenix.wa.edu.au or via the online portal online application.
Step 4:
- Our admissions team will assess your application and notify you of the outcome. If you are accepted, you will receive a Letter of Offer. The Letter of Offer contains details of the course of study and terms of the enrolment. Please ensure that you understand and agree completely with the terms of the agreement outlined in the offer.
Step 5:
- Accept your offer by reading carefully and signing the Conditions of Enrolment.
- Pay the required tuition fees and applicable charges such as OSHC.
Step 6:
- Once the signed offer is received and payment has been made, we will send you a Confirmation of Enrolment (CoE) if applicable (for international students). You must use the eCoE to apply for your student visa. Further information on visa requirements is provided by the Department of Home Affairs. Visit www.homeaffairs.gov.au

Step 7:
- Before your start date you will receive further information on your orientation session and other important pieces of information that you will need to prepare for your first day.
- Attend your Orientation and sign the subject enrolment forms.
Conditions of Enrolment
- Tuition fees and all other fees (e.g. Overseas Student Health Cover) are to be paid according to your Offer of Study.
- For Airport Transfer and Homestay requests please provide flight details (number, date, arrival time) at least 2 weeks before you arrive in Australia. Phoenix Academy will confirm the details with you and send full homestay arrangements.
- For student visas, when selecting a commencement date please allow at least 4 weeks for visa processing.
- Students must meet attendance and course progress requirements in accordance with the Attendance and Academic Progress Policies.
- Any changes to enrolment details must be notified to Phoenix Academy in writing.
- Students under 18 years old are required to have a local Carer/Guardian.
- Phoenix Academy reserves the right to change its fees and conditions at any time without notice.
- Student Visa holders are required under the terms of their visa to notify Phoenix Academy of any change of address during their study at Phoenix Academy.
- Any photos or videos taken on the premises of Phoenix Academy by students and/ or Phoenix Academy staff may be used for promotional purposes.
Course Deferral, Suspension and Cancellation
Students may apply to defer or suspend studies due to compassionate or compelling circumstances such as:
- Serious illness or injury (supported by medical documentation)
- Bereavement of close family member
- Major political or natural events affecting student’s home country.
Phoenix Academy may suspend or cancel a student’s enrolment in cases of:
- Misconduct or breach of policy
- Unsatisfactory academic progress or attendance
- Non-payment of fees
*These decisions are guided by the Deferral, Suspension and Cancellation Policy
Change of Course.
Students must complete a Change of Course Form and receive approval. Approval depends on:
- Timing within the study period
- Academic progress
- Compliance with visa conditions
- Course availability
Requests may be refused based on timing, academic performance, visa conditions, or course availability.
Withdrawal from Course
All requests to withdraw from a course should be submitted in writing by completing the Phoenix Academy Withdrawal Form along with supporting documentation to the General Manager, Phoenix Academy.
A notice of withdrawal due to:
- illness or disability
- death of a close family member (parent, sibling, spouse, child)
- political or civil event that prevents acquittal
may be accepted as grounds for partial refund of fees. Supporting documentary evidence must be provided.
In all cases:
- refunds of tuition and accommodation fees will be in accordance with the Phoenix Academy refund policy.
This agreement does not remove the right to take further action under Australia’s consumer protection laws. In the case of any disputes, Phoenix’s Dispute Resolution processes do not circumscribe the student’s right to pursue other legal remedies.
- International student CoEs will be cancelled on PRISMS and reported to DoHA.
Transfers Between Providers
Incoming students Must provide a Letter of Release from current provider if within first 6 months of principal course.
Students must apply in writing and meet conditions in the Transfer Between Registered Provider Policy.
Additional Conditions (Under 18 Years Only)
Students under 18 years old enrolled in Phoenix Academy courses will be required to live with a Homestay family who act as the local carer or show evidence of living with a Phoenix approved responsible adult who will act as the guardian.
General Information
Dependants: Student’s dependents can enrol in a government or registered non-government high school as long as they meet the criteria set by the Department of Education (DOE). Depending on the school (government or non-government) and type of application (visa class of the parent and dependent) different fees and enrolment processes may apply.
Employment: Students on a Student Visa are entitled to work 48 hours per fortnight during study periods and full-time in holidays. Spouses who accompany student visa holders may be able to work under certain circumstances. For more information, visit the Department of Home Affairs website.
Health Cover: It is a requirement of the Department of Home Affairs that holders of student visas should have Overseas Student Health Cover (OSHC). Phoenix Academy’s preferred provider is Alliance Care Australia. More information can be found here: OSHC – Phoenix Academy
Information Collection and use
Information collected on this form and throughout your enrolment is used to meet our obligations under the Education Services for Overseas Students (ESOS) Act 2000, the National Code of Practice for Providers of Education and Training to Overseas Students 2018 and RTO Standards 2025.
This information is required to:
- Ensure compliance with visa conditions and immigration laws
- Meet reporting obligations to the Australian Government and designated authorities, including the Tuition Protection Service (TPS) and the TPS Director, where applicable
